EXHIBITOR LEAD SCANNER & EVENT APP INSTRUCTIONS 

Finding new customers and networking has never been easier with the Energy Exchange Australia Event App! 

Join today, make your profile look great and schedule your meetings in advance. Keep in mind that networking hours are limited, so remember to be active in sending meeting requests. You can also set your own availability for meetings through the schedule. 

Where can I download the event app? 
The event app is available to download via the App Store and Google Play. Simply search for Energy Exchange Australia and install the app to your device. You can sign in or create an account via the app or use your invite link that was emailed through to you. 

How do I login to the event app? 
If you have used Brella before, you can use the same account for this event. If it’s your first time, you will need to create an account. 

  • To initiate set up, enter your email address or click the invite link found in your email sent by the event team 
  • Follow the prompts to create an account 
  • Fill in your details and input a password 
  • You have successfully logged in! 

You need a join link or join code to join the event. Each event has a specific join code. You will receive the join code/join link in the registration or confirmation email prior to arriving onsite. 

Once you have an account, you can log back into Brella any time through the web app (https://exaexpo.brella.io) or mobile app. 

How do I scan a Visitor’s badge / QR code? 

  1. Log into the event app using your email address and Join Code found on your confirmation email (it is also printed on your badge) 
  2. Select “QR Code” in the bottom left corner of the screen 
  3. Select the “Scan QR Code” tab 
  4. Hover the camera over the top of the barcode. Please ensure you have given the app access to your camera
  5. Once you have scanned the lead, a window will pop up with the Visitor’s profile information. You can write a note for internal reference or start a direct chat message with the Visitor. Don’t forget to hit save! 

Where do scanned prospects sit within the event app? (ie not the App Dashboard) 

Main navigation > People > Prospects 

What happens after a Visitor’s badge/QR code is scanned? 
You can write a note for internal reference (which is saved against the prospect and can be later exported with their contact details), start/send a chat with the Visitor or you can join a video call with the visitor (please note, this function works when both users (Visitor & Exhibitor) click through into the video link) 

You can also “add to phone contacts” by selecting the three small dots in the bottom left hand corner and the contact card appears in your address book. Contact details will need to be entered manually. 

What information is captured when a Visitor’s badge/QR code is scanned? 
When a Visitor’s badge/QR code is scanned, the following data is collected: 
Name, Email, Company, Job Title, Time (of scan), Who (Stand member), Notes, Actions 

Do all stand members’ scanned prospects go into one export list? 
Yes. All leads that are scanned by exhibiting staff under the same company name are collated into one list and can be reviewed in the App Dashboard.  

Who has access to download/export scanned prospect leads? 
Your Stand Coordinator can access and review all scanned leads via the App Dashboard. Prospect leads can be exported as a CSV file.
Note: you can only export when logged into the web app.
 

How do I schedule a meeting? 

  1. Scroll the list of your matches and then click “Chat/Suggest Meeting” 
  2. Profile card opens, then click “Chat” or “Suggest Meeting” 
  3. Find available time for the meeting and click “Select time”. Note you can also select the location for the meeting – Networking Lounge or at your stand? 
  4. Write a message and click “Send meeting request!” 

Don’t forget to include a message with your request to let the other person know why you’re interested in meeting with them. Whilst the meeting is pending, you can send one follow-up message. Once the meeting has been accepted, the chat feature will re-open. 

Exhibitors can schedule 1:1 meetings with Visitors, Speakers and other Exhibitors. 

What happens when I receive a meeting request? 
You have the option to accept, decline or reschedule the meeting. 

How many meetings can I request? 
The number of meetings you can request are limited to 20. However, if one meeting is declined, that is returned to your total number of requests. And remember, don’t leave the others hanging! Accept, reschedule or decline your pending meeting requests. Keep your meeting availability up to date through the schedule. 

What is the duration of each meeting slot? 
Each meeting slot is 20minutes. With the first slot available from 9:30am. 

How can I keep track of my schedule? 
Choose “My Schedule” from the main menu bar along the bottom to see your schedule for the day. You can see the full event Agenda by selecting the prompt at the top. 

How do I change my profile if I’m seen as a Visitor in the app? 
Please see a member of the Event Team at Customer Service Desk. 


APP DASHBOARD – ADMIN ACCESS 

Your Stand Coordinator will have admin access to the App Dashboard – your central hub for managing event leads and engagement. Within the App Dashboard you will have access to:

  • View full prospect lead details – See contact information for scanned leads (only a preview is available in the mobile app) 
  • Export prospect leads – Download all captured leads as a CSV file (note: this feature is only available via the App Dashboard) 
  • Gain insights – Track meeting requests and engagement data for your company. 

Follow these steps to sign in to the App Dashboard: 

  1. Your Stand Coordinator will receive an invitation to access the App Dashboard via email with the subject line: Energy Exchange Australia has added you as their partner from the address [email protected] 
  2. Simply click on the “Access Booth” button within the email 
  3. You’re now logged in! 

When I’m logged in, what do I find on the Dashboard? 
You will find an overview of your company’s meeting activity, chat activity and number of unique visitors scanned.

As a Stand Coordinator, how do I export prospect leads? 
Within the App Dashboard navigate to: 

Scans > Export Outbound CSV 

Your CSV export will be delivered by email. You can only export prospect leads when logged into the App Dashboard on the web. 

Can I find information regarding meeting requests with all Stand members? 
Yes. Move to the “Representatives” tab and you will find all Stand members, along with their individual meeting activity.

Requirements to access Brella: 

  • Have the latest version of the browser of your choice.
    Brella works on all modern browsers, preferably Google Chrome, Mozilla Firefox, and Safari. 
  • Have the latest version of the Brella App on the web and mobile.
